How SOFIMAT RECRUITMENT S.R.L. processes the data you send via the site, email or WhatsApp — for mediation, contact, rentals or other services.

The controller is SOFIMAT RECRUITMENT S.R.L., CUI 52557765, Trade register J2025072481005, registered office Str. Curcanilor 64, 500108 Brașov, Romania.
Contact: +40 731 192 479, office.sofimatrecruitment.ro. Hours: Monday–Friday 09:00–18:00.
Candidates: name, phone / WhatsApp, email, city, nationality, trade, experience (years/months), qualification level, certificate/diploma, languages and level, countries worked in, countries where you want to work, availability, notes. We do not ask for a personal ID number, ID-card copy, bank details or health data on the public form.
Employers: company name, contact person, email, phone, country, type of staff sought, headcount, notes.
Rental clients: data from the search request and, after contract, from the profile dossier (name, phone, city, budget, preferences, documents you send).
Service requests and contact messages: name, contact details, the service chosen and the message.
We do not ask for data we do not use. We do not build marketing profiles from public forms.
Your name and at least one contact channel (phone or email) are needed so we can handle the request. The other fields are optional.
Handling requests received via the site, email, phone or WhatsApp.
Mediation: to identify and manage relevant job opportunities. With the separate consent on the form, we may share your data and professional profile with potential employers and recruitment partners involved in the process, solely for that purpose.
Contact: to reply by message, phone or WhatsApp.
Rental dossier: to search for housing in Germany, apply and schedule viewings after your confirmation, after the 30-day contract.
Services (tax refund, documents, CV): to assess the request and tell you if we can take it on.
Legal duties (for example invoicing and records).
Commercial messages — only if you tick the separate marketing box. It is not combined with the GDPR checkbox.
Handling a request or application received through the form — legitimate interest: to contact you, qualify the request and keep an internal record, without advertising.
Contract or pre-contractual steps — when you request a paid service (for example the rental search) or another service agreed in writing.
The required checkbox on the form confirms that you received the information in the Privacy policy before sending. It is not marketing consent and it is not consent to share your profile.
Consent to share data in recruitment — the separate box by which you agree that SOFIMAT Recruitment may send your data and professional profile to potential employers and recruitment partners involved in the process, solely to identify and manage relevant job opportunities.
Marketing consent — only if you tick the separate optional box for commercial messages. It is not combined with the GDPR notice or with recruitment-sharing consent.
Legal duties — for example invoicing and records, when they apply.
We keep data as long as needed for the request, for legal duties (for example invoicing) or until you withdraw consent, if no other basis applies.
Requests that do not continue are reviewed periodically. We do not announce a “for life” archive.
You have the right of access, rectification, erasure, restriction, objection, portability and to lodge a complaint with the Romanian data protection authority ANSPDCP (www.dataprotection.ro).

We do not sell, rent or hand your data to advertising brokers.
Data from public forms is stored in Sofimat’s internal records (CRM). If internal notification email is configured, the team receives a message at the company address; the data is not published on a third-party website.
Technical recipient categories, if used at publish time: the website hosting provider and, optionally, the email service (Resend or an SMTP server). We do not install advertising trackers on public pages.
For mediation, candidate data (including a CV sent voluntarily by email or WhatsApp) may be sent to: (1) relevant potential employers; (2) recruitment partners involved in the mediation process. The purpose is solely to identify and manage relevant job opportunities. Sharing is based on the separate consent on the form, which you may withdraw by writing to office.sofimatrecruitment.ro.
For the rental search, dossier data may be used in applications to landlords or agencies, after contract.
Where processing is based on consent (sharing the profile in recruitment, or marketing), you may withdraw it at any time by writing to office.sofimatrecruitment.ro. Withdrawal does not affect the lawfulness of processing already done. Withdrawing recruitment consent means we will not send your profile to new recipients; we may keep the internal record of the request if another basis applies (for example legitimate interest in order to reply to you).
We work in the European Union. If an employer, a landlord or a communication channel (for example WhatsApp) involves a transfer, we do it only when needed for your request and with the applicable safeguards.
We use them as contact channels, not as advertising trackers. Those services have their own policies. Use them only if you accept that.
